    Organized globally

SHI helped make profiles for roles and responsibilities, easily determining what M365 subscriptions their global users need.

SHI’s two-phased ITAM solution included seven countries, 26 stakeholders, and over 47,000 devices, optimizing licensing and maximizing the customer’s ROI.

    Challenge:

During a period of organizational changes, the customer needed to transition to a new Microsoft tenant. To ease these changes, they also needed to accurately visualize their current license consumption and identify any optimization opportunities.

They turned to SHI’s IT Asset Management (ITAM) experts for help while Microsoft granted them a temporary grace period to adjust their usage.

    Solution:

In phase one of the project, SHI's ITAM experts analyzed the customer’s tenant to understand their Microsoft 365 (M365) usage. In just under 48 hours, we discovered a potential cost savings of $1.2 million for their 3-year enterprise agreement (EA).

During phase two, the customer leveraged SHI’s Office 365 (O365) Optimization Services to accurately assess their O365 needs. This was especially crucial for the customer, as they attempted to complete the profiling on their own four years prior but were unable to succeed.

Our team traveled to seven countries across North and South America, Europe, and Asia, interviewing a total of 26 stakeholders and end users representing common user types across various roles and responsibilities. This included “Road Warriors,” who traveled often and required local applications to be installed on their devices, and “Engineers and Workers,” who worked on-site with email and internal company pages.

SHI identified several profiles available for M365 subscriptions and presented a thorough recommendations report, detailing ways the profiles can help maximize the customer’s ROI.

    Outcome:

By implementing profiles and assisting with the management process, SHI helped the customer right-size their subscriptions, realizing $4.5 million in potential savings. The customer also identified additional incorrect O365 installations, which could have exposed the customer to a breach of contract.

The customer has since received a five-fold return on their investment by subscribing to SHI's O365 Optimization Services. They’ve improved their purchasing decisions by using specific profiles and user types available for purchase.

“In just under 48 hours, we discovered a potential cost savings of $1.2 million for [the customer’s] 3-year enterprise agreement (EA).”
